Accuracy
The Institute reserves the right to make changes in regulations, syllabuses, fees etc, without prior notice. Complaints about the accuracy of information in the prospectus and related course documents should be made, in writing , to the Academic Registrar. Any complainants who feel their complaints have not been dealt with satisfactorily may write to the Quality Assurance Agency.

Cancellation of courses by the Institute
We aim to run the first meeting of every class, even if there are few enrolments. However, the Institute reserves the right to cancel a course if low enrolments mean that it is not viable. If this occurs, we will refund your course fee in full but will not reimburse any expenses incurred.

Cancellation of an individual class
It may be necessary, on occasions, to cancel a particular class meeting at short notice. We will contact you on the contact number you give us on your application form. Hours will be made up, wherever possible, at a time mutually convenient to the class and tutor.

Cancellation by you
Refunds will only be given, minus a 15% administration charge, if written notification is received at least seven days before the start of term. Please note - no refunds will be given with less than seven days written notice. Distance learning students please note that, once in receipt of your coursework, you will be deemed to have commenced your course and no refunds will be given.

Refund arrangements
Any refunds will be made to your credit/debit card if you originally paid in this way. If you paid by cash or cheque, you will be refunded by cheque, which can take up to four weeks.

Security
Students are issued with a Institute card on the first meeting of the course. This should be worn at all times when on Institute premises. ACCESS TO THE INSTITUTE MAY BE DENIED IF YOU DO NOT HAVE YOUR CARD.

Personal data
The Institute is registered under current UK Data Protection law. It holds data in electronic and paper form on students' personal details, academic and administrative history, on any relevant financial transactions and on their use of Institute facilities. Most of this information is necessary for us to properly administer student studies with the Institute, for example the recording and processing of assessment results, the determination of final award outcomes, and the production of management information statistics.

Assessment data will be processed to determine award outcomes, and the precise way in which this is done is published in relevant handbooks and documentation. In due course, records will form part of the student archive.

In addition, the Institute is required by law to collect and provide information on every student to certain external agencies. These bodies include the Higher Education Statistics Agency, local education authorities and other grant-awarding bodies, the Student Loans Company taxation authorities. We are also obliged to release information to the Police and similar law officers as part of criminal investigations, and in some instances, to officers of the Court in relation to civil proceedings. In certain circumstances relating to the recovery of outstanding debt, data may be passed to debt collection agencies acting as agents for the Institute.

The details of academic awards from the Institute (including levels of attainment) are regarded as public information. Names of successful candidates will be published on open pass lists. This information will also be routinely released to a third party (for example, prospective employers). Other information which will be routinely released to a third party, is whether or not students are registered with the Institute. Where provided, Institute email addresses will be published in a directory (users make themselves ex-directory for external access).

Students and other users of the Institute have the right of access to personal data relating to themselves that is held by the Institute in electronic format and/or manual records* forming part of a 'relevant filing system' (*subject to the provisions of the Act governing transitional relief). Any individual who wishes to exercise this right should apply using a subject access request form. A fee of £10 is required and the Institute has a period of 40 days in which to provide the required information. Application forms are available from the Registry and returned to the Data Protection Officer.

To assist students with their life long learning plans; students enrolling in the 2006-2007 session will be mailed the 2006-2007 prospectus. If you do not wish to receive a prospectus, please inform us in writing.
